Who is the Dimensions Group?
The Dimensions (UK) Ltd Group of companies provide a range of support services for people with learning disabilities and autism, across England and Wales. We also campaign for a more inclusive society and run a number of projects and initiatives to support this.
Dimensions (UK) Ltd is a charitable registered society under the Co-operative and Community Benefit Societies Act 2014. Financial Conduct Authority No. 31192R and the Homes & Communities Agency 4648.
The Dimensions (UK) Ltd group of companies includes Discovery, registered charity number 10257343, Waymarks, registered charity number 1234234, and Outreach3Way, registered charity number 278140. For the purpose of this policy, these organisations are together referred to as Dimensions Group.
This policy outlines how we collect, use, store and share personal data. It also covers access by third party applications and our commitment to keeping your information secure.
What information do we collect?
The ways we use your information are based on our legitimate interests of being able to provide you with the information you require from Dimensions, in the most appropriate way for you.
The Dimensions Group only collects relevant and necessary information. We will never ask you to supply financial details via our website, social media or other channels.
Information we collect on the Dimensions Group websites include:

- Last name
- Email address
- Telephone number
- Other information relevant to the case, project, campaign or communication.
Some of the information we collect via the Dimensions Group websites is collected by third party applications, called Dotmailer and Eloqua.
Analytic tracking tools also collect anonymous information across Dimensions Group websites and social media channels. This data is used only to improve user experience and is never shared.
Information we collect via Dimensions Group social media channels is dependent on what you share with us. We may access publicly available details on your profile to get more, relevant information about you. We will never publicly share personal data that is not already publicly available, or ask you to.
Information we collect via Dimensions Group SurveyMonkey accounts is dependent on the survey being carried out and what you decide to share with us.

What do we use your information for?
Information we collect and store via Dimensions Group websites is used for only the reason the submission is made, on the legal basis of consent or legitimate interests as appropriate. For example:

- Information supplied via a contact form is used to direct your enquiry onto the relevant department so a member of the Dimensions team can respond to you.
- Information supplied via Dimensions Group social media channels is used to direct your enquiry onto the relevant department so a member of the Dimensions team can respond to you.
- Information supplied via the Dimensions Group SurveyMonkey accounts is used to supply data or feedback around a specific topic within Dimensions and possibly third parties where appropriate.
How do we store your information?
Information you share with us via the Dimensions Group websites, social media channels or SurveyMonkey accounts may be stored within the EU:
- On the website content management system
- On Dimensions gmail account
- On Dimensions email servers
- On Dimensions internal servers
- On Dotmailer and Eloqua
- On SurveyMonkey
- On social media channels.
Some information may be stored on mobile devices or printed out and stored as hard copy.
How do we share your information?
We only share your information with internal or external individuals or departments relevant to your case or for reporting purposes.
We require all companies we work with to confirm their approach to privacy and information sharing.
Information submitted is shared via Dimensions email servers or telephone call. On occasion, information may be printed and hard copies shared.
Information submitted via Dimensions Group websites is accessible by third parties who help manage the content management systems and platforms. These are contractual partnerships and no information will be accessed, exported or shared without Dimensions Group approval.
E-newsletter sign-ups are shared via CSV file or directly into the Dotmailer platform.
Information submitted via a Dimensions Group SurveyMonkey account is only shared with relevant parties and, if specified on the survey, will be anonymised.
We may disclose your personal information to any member of our Group, which means our Group companies, our ultimate holding company and its subsidiaries, as defined in section 1159 of the UK Companies Act 2006.
We may disclose your personal information to third parties:
- In the event we sell or buy any businesses or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets

Keeping your data secure
All data collected is protected against unauthorised access. As required by the General Data Protection Regulations, we follow security procedures in the storage and disclosure of information that you have given to us, in order to prevent, as far as possible, any unauthorised access.
However, due to the nature of the medium, we are unable to provide any guarantee that information stored by us will not be subject to unauthorised access and any transmission is at your own risk.
Our website content management system and host server are secure networks with regularly updated security put in place.
All passwords are regularly updated.
In the unlikely event that data is compromised, we will strive to inform everyone affected as soon as possible and take all precautions to mitigate damage and prevent further risk.

How to access your information
You have the right to access any information we hold about you free of charge, this is known as a Subject Access Request. You should request this in writing.
You can contact us in writing, or over the phone, or face to face, if you would like to exercise any of your other rights, which include the right to:
- Ask for incorrect information to be changed;
- Ask for information to be deleted;
- Ask for information to not be used at all, or not be used in certain ways;
- Ask for information to be made available to you in a reusable electronic format;
- And rights around not being subject to some types of automated decisions.
